Position Title(s): Enrollment and Customer Service Associate (Two positions available, see description for full details) Classification(s)
Primary purpose: The Enrollment and Customer Service Department Associate (ECSD Associate) advances and supports the mission of The Music Settlement through the following actions: The ECSD Associate will assist the ECSD Manager with all department functions, including enrollment activities and reports, enrollment system testing and maintenance, and provide effective communication and customer service to faculty, staff, clients, and community partners. This individual must be able to work independently and show initiative with providing solutions and improvements to existing systems and procedures. Reports to: Manger of Enrollment and Customer Service Essential duties and responsibilities: Customer Service •· Answer phones / provide information / take payments on accounts / direct public. •· Assist with maintaining regular communication with faculty and staff. •· Provide pleasant assistance to customers, staff and faculty in person or on the phone regarding billing, online registration or other inquiries. Administrative •· Daily balancing of cash, credit and check transactions. •· Assist with application of scholarship and financial aid and 3rd party billing. •· Monthly billing and customer account/ledger adjustments. •· Act as a support and communication conduit for all enrollment and scheduling functions for all departments. •· Work as a back-up for ECSD manager in all functions related to enrollment, system testing and maintenance •· Maintain facility scheduling and master calendar / Building Use Schedule for all departments in accordance with Settlement policies •· Support and train employees in the use of enrollment system. •· Provide support for employee health programs and participate in their implementation. •· Pre-registration preparation, implementation and communication. •· Perform all enrollment functions and support others in this capacity along with lesson changes (length, weeks, drops, etc), course creation and online registration. •· Create, update and distribute security access cards for faculty, staff and students. Educational requirements: A minimum of three years of work experience in arts administration or a related field is required. Bachelor degree in music or business preferred. Qualifications: ECSD Associate must have excellent customer service skills. Verbal, written, and interpersonal communications skills, as well as experience and knowledge of Windows, MS Word, and Excel are required. He or she must personally adhere to all established personnel policies and practices of The Music Settlement.
